- One-sided copies only — Most departments require single-sided pages for exhibit binders so judges and witnesses can easily annotate or flip pages.
- Clean, high-quality reproduction — Sharp text, accurate grayscale or color (when needed), no shadows, no cut-off edges, consistent contrast.
- Correct paper size and orientation — Standard letter (8.5 x 11) unless the original is legal-size or oversized; maintain original orientation.
- Internal pagination — Every multi-page exhibit must be numbered within itself (e.g., 15-1, 15-2, 15-3 or 15.1, 15.2).
- Bates numbering / Page ID — Sequential Bates labels across the production set (or within each exhibit) so every page has a unique identifier. This is critical for deposition designations, discovery, and trial references.
- Tabbed organization — Numbered or lettered tabs that match the Joint Exhibit List exactly.
- Identical multiple sets — Produce exact duplicate binders (typically 3–4 court sets + counsel sets).
Common Legal Copying Workflow for Trial Binders
- Receive native or scanned files (PDF preferred).
- Apply Bates numbers / Page IDs if not already present.
- Clean up pages (remove old exhibit stickers, deposition numbers, or conflicting markings when required).
- Insert slip sheets or dividers if needed.
- Print one-sided on quality paper.
- Hole-punch (or leave unpunched if the court prefers).
- Insert into three-ring binders with proper front/spine labels and numerical tabs.
- Place the Joint Exhibit List at the front of each binder.
- Quality-check every volume for missing pages, wrong order, or poor print quality.
